Competent & ResourcefulWe are seeking a proactive and organized Receptionist and Office Assistant to join our team. This role involves managing office operations, assisting with administrative tasks, ensuring office supplies are maintained, and coordinating various services. The ideal candidate will have a high attention to detail, strong organizational skills, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities:
• Reception Duties:
• Greet visitors and manage all incoming calls.
• Ensure the front desk area is tidy and welcoming at all times.
• Assist with general inquiries and provide appropriate direction to clients and visitors.
• Office Administration:
• Maintain and order office supplies
• Order monthly groceries and manage weekly food deliveries and water dispensers.
• Ensure boardroom supplies are stocked and available.
• Add new employees to the notice board, and manage general updates.
• Vehicle and Service Management:
• Schedule and coordinate vehicle servicing and repairs.
• Book service appointments for company vehicles as required.
• Ensure printers and air conditioners are serviced.
• Arrange for fire extinguisher servicing annually.
• Administrative Support:
• Add new employees to the clock-in machine.
• Assist with the preparation of general office correspondence.
• Handle any issues related to office utilities and contacting service providers if necessary.
• Supervise responsibilities of office cleaners.
• General Office Duties:
• Monitor office equipment, and ensure it is serviced and functioning properly.
• Manage municipal services and log queries where required
• Facilitate smooth process of packages collected by and received from couriers
• Provide management with assistance as and when required.
• Animal Care Duties:
• Arrange dog food and medical care for 2 welcoming yard dogs.
Qualifications:
• Proven experience as a receptionist, office assistant, or in a similar administrative role.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to manage various tasks and meet deadlines.
• Strong attention to detail and ability to problem-solve effectively.
• Reliable, with the ability to maintain confidentiality.
Physical Requirements:
• Ability to work in an office environment and sit at a desk for extended periods.
• Must live in close proximity to offices
